My leadership journey at the University Medical Centre Ljubljana was shaped by a mix of business acumen, marketing expertise, and healthcare management experience. It began with a chemistry degree and a scholarship from a Slovenian pharmaceutical company, leading to a marketing role across Central and Eastern Europe. Rapid career growth followed, including an executive director position and a role in business restructuring at Slovenia’s only private hospital. This experience paved the way for leading business operations at the Surgical Clinic and later corporate security leadership during the COVID-19 pandemic. Post-pandemic involvement in the European SUNRISE project highlighted the need for healthcare crisis preparedness.

Experience in Managing Projects

Implementing large-scale healthcare initiatives comes with a unique set of challenges that require careful planning, stakeholder coordination, and adherence to strict regulatory requirements, including the following:

Regulatory and Compliance Challenges

Healthcare projects must comply with strict regulations such as health insurance and accountability regulations, GDPR (General Data Protection Regulation), and other local healthcare laws. Ensuring that patient data is protected and that processes align with legal frameworks can be complex.

Interoperability and System Integration

Many healthcare initiatives require integrating multiple systems (EHRs, billing systems, telemedicine platforms). These systems often use different data standards, making seamless integration a challenge.

Stakeholder Alignment and Resistance to Change

Healthcare projects involve multiple stakeholders— doctors, nurses, administrators, IT teams, government, and patients—each with different priorities. Resistance to change can slow down adoption. (PDCA – Please Don't Change Anything)

Budget Constraints and Cost Overruns

Healthcare projects require significant funding for infrastructure, software, and training. Cost overruns can occur due to unforeseen regulatory requirements, technology upgrades, or implementation delays. Therefore, one should perform a detailed cost-benefit analysis before starting the project, adopt an agile approach, implement it in phases to control costs, and establish contingency funds to handle unexpected expenses.

Data Security and Cybersecurity Risks

With increasing cyber threats, protecting patient data and system integrity is crucial. Healthcare organizations are frequent targets of ransomware and data breaches. It is essential to transition from cybersecurity to cyber resilience by implementing multi-layered security, including encryption, multi-factor authentication, and regular security audits and backups.

Workforce Training and Adoption

New technologies and processes often require extensive staff training. If training is inadequate, adoption rates will suffer, leading to inefficiencies. Therefore, user-friendly systems that align with existing workflows should be in place, and hands-on training should be offered.

Privacy Risks

With the increasing digitization of patient records and hospital operations, several critical data privacy risks have emerged, including unauthorized access, ransomware attacks, insider threats, and compliance gaps. Based on my experience, here are some specific risks encountered:

Unauthorized Access & Insider Threats

Healthcare organizations often have thousands of employees with varying levels of access to electronic health records (EHRs). Without proper role-based controls, insiders (staff, vendors, or contractors) could access or misuse sensitive data.

Ransomware and Cyberattacks

Healthcare organizations are prime targets for ransomware attacks, where attackers encrypt hospital data and demand payment for its release. These attacks can cripple operations and put patient safety at risk.

Unsecured Third-Party Integrations

Many hospitals integrate with external systems (labs, insurance providers, telehealth services). If these third parties have weak security, they become a backdoor for attackers to access sensitive data.

Phishing and Social Engineering

Staff members are often tricked into revealing login credentials through fake emails or messages, granting hackers access to patient records.

Non-Compliance with Regulations

Failure to properly secure patient data can lead to heavy fines and legal consequences under regulations like GDPR and NIS-2.

Stakeholder Management in Projects

Stakeholder management in complex healthcare projects is crucial for ensuring alignment between medical staff, IT teams, and hospital leadership together with the Ministry of Health. Each group has different priorities: doctors and nurses focus on patient care, IT teams on system security and functionality, and hospital leadership on financial and regulatory concerns. Balancing these perspectives requires a structured, strategic approach to communication, engagement, and conflict resolution. All of these should be identified, categorized, and included.

Successfully managing stakeholders in healthcare projects requires a balance of strategic planning, transparent communication, and adaptability. By aligning medical, IT, and leadership priorities, projects can be implemented efficiently with high adoption rates and minimal disruption.

Emerging Technologies in Healthcare

Emerging technologies are transforming healthcare and healthcare project management, improving efficiency, collaboration, and patient outcomes. Over the next five years, these technologies will have the most significant impact:

Artificial Intelligence (AI) & Machine Learning (ML) which offer:

• Predictive analytics to forecast project risks, budget overruns, and resource allocation needs.

• AI-powered automation to streamline administrative tasks, such as scheduling, compliance tracking, and documentation.

• Natural Language Processing (NLP) for automated reporting and summarizing clinical meetings.

Blockchain for Data Security & Interoperability that:

• Secures and decentralizes patient records to ensure compliance with GDPR and other regulations.

• Automates vendor agreements, supply chain management, and billing processes.

• Enhances interoperability by enabling different healthcare systems to exchange patient data securely.

Augmented Reality (AR) & Virtual Reality (VR) for Training & Collaboration offers:

• AR-assisted facility planning for visualizing hospital layouts and equipment placement.

• VR-based staff training for smoother adoption of new systems (e.g., EHR, robotics-assisted surgery).

• Remote collaboration is where project teams can interact in a virtual space in real time.

Robotic Process Automation (RPA) for Administrative Efficiency

• Automates repetitive tasks, such as processing invoices, tracking project approvals, and scheduling meetings.

• Reduces paperwork delays by integrating automated workflows for document submission and compliance checks.

• Improves resource allocation by analyzing historical project data.

The next five years will see healthcare project management become more data-driven, automated, and predictive, thanks to AI, IoT, blockchain, digital twins, and automation tools. These technologies will streamline workflows, enhance security, and optimize resource allocation, ensuring more efficiency with greater transparency.

Advice for Aspiring Healthcare Project Managers

Healthcare project management is complex due to regulatory challenges, interdisciplinary collaboration, and direct impacts on patient care. Key considerations for aspiring project managers include:

• Project Management Methodologies – Traditional Waterfall methods are common, but Agile and Lean approaches are gaining traction for flexibility.

• Healthcare System Knowledge – Understanding hospital operations, insurance structures, and regulations is crucial.

• Regulatory Awareness – Staying updated on GDPR, data privacy laws, and accreditation standards is essential.

• Patient-Centred Focus – Prioritizing healthcare quality and safety enhances project success.

• Strong Interpersonal Skills – Effective communication across teams is vital.

• Emotional Intelligence – Managing high-stress environments requires empathy and leadership.

• Data-Driven Decision Making – Tracking key performance indicators (KPIs) like patient satisfaction and wait times help optimize planning.

Successful project managers integrate technical skills with healthcare knowledge to drive meaningful improvements while keeping collaboration and team spirit in mind, including patient involvement.
